Job Summary:

Corporate Facilities Management is seeking an organized and proactive Corporate Receptionist/Staff Support assistant to perform a variety of administrative duties and minor building interactions within the Corporate Facilities group. This individual will work at the main lobby receptionist s desk to ensure all calls are answered, screened and properly directed as well as provide any administrative services required for the east region Corporate Facilities Team. Candidate is required to have strong interpersonal skills, the ability to manage multiple tasks at once as well as handle various clerical responsibilities.

Essential Duties/Responsibilities:

  • Provide support, as needed, to the Director of Corporate Facilities and the FM team within the Princeton/East based organization.

  • Receive and screen all telephone calls.

  • Receive and direct office visitors.

  • Prepare expense reports for Corporate Facilities.

  • Responsible for setting up Corporate Facility conference calls and meetings.

  • Responsible for the completion of other Administrative duties as needed including: informational materials for meetings and briefings.

  • Ensure the lobby area is kept clean and organized.

Working Conditions:

  • Corporate setting within an Open office environment.

  • Main lobby area with some very minor mechanical room interactions.

  • Some overtime may be required if special projects arise.

Minimum Requirements:

  • High school diploma or GED equivalent required

  • 1 year answering calls and transfering to the appropriate party

  • 1 year greeting customers/clients and directing office traffic

  • 1 year administrative duties

  • Proven ability to provide excellent customer service

  • Proven ability to prioritize given tasks and work efficiently towards completing them Proven ability to be detail oriented and exhibit excellent organizational skills

  • Proven ability to effectively communicate and collaborate with a diverse range of people

  • Proven ability to effectively communicate and collaborate with a diverse range of job functions

  • Proven ability to exercise good judgment and initiative Proven ability to be proactive as well as a positive thinker

  • Proven ability to exercise good judgment and initiative Proficient in Microsoft Office suite

Preferred Qualifications:

  • 2 years answering calls and transfering to the appropriate party

  • 2 years greeting customers/clients and directing office traffic

  • 2 years administrative duties

  • Proven intermediate/advanced skills in PowerPoint and Excel Demonstrated proficiency in writing, editing, and proofreading Previous receptionist/administrative experience

Additional Knowledge, Skills and Abilities:

  • High level of professionalism and integrity due to the frequency of senior-level internal and external contacts and regular exposure to confidential data.

  • Ability to work in a team environment with a commitment to the goals and objectives of the team.

  • Computer software proficiency in Microsoft Office suite; PowerPoint; Internet; Intranet; Outlook.

  • Ability to use the proper telephone and email etiquette

  • Ability to prioritize work, meet frequently changing deadlines, and concurrently manage multiple tasks.

Physical Requirements:

Occasionally requires lifting up to 25 LBS as appropriate to perform duties and responsibilities.
